General Terms and Conditions for Participation in the Event

The following General Terms and Conditions apply to participants in the 27th European Practicum on Cardiopulmonary Exercise Testing in Basel 2025 (hereinafter referred to as "Congress").

Registration

Registration is binding. A legally binding contract is formed upon receipt of the registration. Confirmation of participation will be sent via email. Participation fees must be paid within the payment period indicated on the invoice, using the payment method selected during registration.

The University of Basel, Department of Sport, Exercise and Health (hereinafter referred to as "the University"), reserves the right to deny access to the event if the Congress fees are not paid on time.

Upon full and timely payment of the Congress fee, registered participants acquire the right to attend individual sessions of the event (e.g., plenary sessions, workshops). Participants cannot claim a refund or partial refund of the Congress fee from the University for non-attendance of parts or the entirety of the event.

The printed program is accurate at the time of printing. The University reserves the right to make last-minute program changes (location, time, instructors, content) to ensure quality and/or the organization and feasibility of the event.

 

Cancellation Policy

The following cancellation conditions apply:

  • Cancellation on or before 01 July 2025:
    A processing fee of 30% of the participation fee is non-refundable or remains due.
  • Cancellation from 01 July 2025, onwards:
    The registration fee is non-refundable or remains due.

These terms also apply in cases of non-attendance, force majeure, illness, accident, or other similar circumstances. Cancellations must be submitted in writing by post (Prof. Arno Schmidt-Trucksäss, University of Basel, Department of Sport, Exercise and Health, Grosse Allee 6, CH-4052 Basel) or email (cpx2025-dsbg@unibas.ch). The postmark/receipt date determines the eligibility for a refund.

Replacement Participant

A replacement participant may be designated at any time. No additional fees are charged.

Congress Postponement, Cancellation, or Termination

Caused by the Organizer:

  • In the event of a postponement, the registration automatically applies to the new date. Refunds or exchanges are excluded. Participants may cancel their registration, but a processing fee of CHF 30.00 remains due (valid for up to 2 months after the postponement is announced; thereafter, the current terms apply).
  • If the Congress is canceled, participants may request a full refund of the paid fees within 30 days.

Not Caused by the Organizer:

If the Congress is canceled, terminated, or postponed due to circumstances beyond the organizer's control (e.g., force majeure, health risks, pandemics, state mourning, weather conditions, strikes, or war), the organizer is not liable for resulting losses or damages. In such cases, the participation fee is generally non-refundable or remains due.

In case of postponement due to these circumstances, the participation fee automatically applies to the new date. Refunds or exchanges are not possible, but participants may cancel under the same conditions as outlined above (CHF 30.00 processing fee, valid for up to 2 months after the postponement announcement).

Participants have no further claims, including reimbursement for travel or accommodation costs, lost work time, or other damages.

Data Protection

The Congress organization complies with Swiss data protection laws. Participant data is not shared with third parties (except the organizer) and is used solely for organizing the Congress.

Photography, Videos, and Audio Recordings

Participants acknowledge that photographs, videos, and audio recordings may be taken during the Congress and published afterward on the Congress website, in journals, or other publications. By registering, participants agree to the use and publication of such recordings. If a participant does not consent, they must inform the responsible person on-site immediately.

Safety and Event Rules

By registering, participants agree to comply with the Congress’s safety, access, and event rules. Non-compliance may result in exclusion from the event without any compensation.

Liability Limitations

The organizer is liable only for personal injury claims resulting from intent or negligence and for property damage caused by intent or gross negligence. Further claims are excluded. The organizer is not liable for loss or theft of personal belongings unless caused by intent or gross negligence.

Insurance

Insurance for personal or property damage is the responsibility of the participant.

Place of Fulfillment and Jurisdiction

In case of disputes, the contracting parties agree to submit to the ordinary courts of the Canton of Basel, Switzerland. Only Swiss law is applicable.
