Conditions of Participation

Scope

These Conditions of Participation shall apply to all conferences, symposia, conventions or meetings (hereinafter “Event”) of the University of Basel. By registering for the Event, the registering person (hereinafter “Participant”) acknowledges to have read, understood, and unconditionally agrees with the following Conditions of Participation. 

 

 

Registration and Registration Fee

The Participant places a binding order by completing his / her registration and undertakes to pay the fee for participation in the Event (hereinafter “Registration Fee”) in full and on time. The Registration Fee as well as the payment modalities can be found in the respective announcements (flyer and website) of the Event. Irrespective of the respective payment modalities, full payment of the invoice amount before the start of the Event is mandatory in all cases.

 

Unless explicitly stated otherwise in the respective announcement for the Event, the costs for accommodation, meals or mobility are not included in the Registration Fee.

 

 

Cancellation of registration

Any Cancellation of the registration by the Participant after confirmation of registration must be made in writing. Unless otherwise stated in the announcement, the following conditions apply to cancellation of the registration:

 

  • Up to 8 weeks before the Event a processing fees may incur.

 

  • Between 8 and 4 weeks before the Event, the University of Basel will charge 50% of the Registration Fee.

 

  • Up to 4 weeks before the Event, the University of Basel will charge 100% of the Registration Fee.

 

 

Cancellation of the Event

The University of Basel reserves the right to cancel or postpone the event or, if not otherwise possible, to hold it only in digital form if at least one of the following conditions applies:

 

  • The unforeseeable cancellation of the main speaker and / or several speakers at the same time;
  • The occurrence of unforeseeable disruptions at the venue (force majeure) or the existence of health and safety risks for Participants and speakers for which the University of Basel is not responsible;
  • An insufficient number of participants.

 

In sucha case, University of Basel only undertakes to refund a Registration Fee already paid by the Participant. All other claims by the Participant (e.g. claims for damages in the event of cancellation of the Event) are expressly excluded.

 

 

Program

University of Basel reserves the right to modify the program of the Event, and accordingly, such a modification neither entitles the Participant to request a registration fee reduction nor a reimbursement of such fees. 

 

 

Conduct during the Event

The Participant must refrain from discriminatory conduct and disruptive behavior during the Event, including behaviors which may endanger the health or safety of other Participants or would be detrimental to the rights or other interests of University of Basel. Audio or video reproductions of the Event are not allowed without prior written authorization from University of Basel. The Participant must comply with any instructions issued by University of Basel in the context of the Event. 

 

 

Insurance

The Participant is responsible for having adequate insurance coverage, notably, but not limited to, accident insurance and third-party liability insurance. University of Basel declines all responsibility in the event of an accident.

 

 

Limitation of liability

The Participant recognizes and acknowledges that the liability of the University of Basel for any claim of a Participant linked to an act of wrongdoing or an omission of the University of Basel in the context of the Event is limited to the registration fees paid by the Participant for the Event, to the extent legally permitted. The University of Basel does not accept liability for any consequential damages and undertakes no liability for acts or omissions of third parties. Any other liability of the University of Basel is excluded to all extent possible under the applicable law, e.g. liability for theft, misappropriation or deterioration of personnel effects and, in general, of any object under the responsibility of the Participant occurring during the Event, liability in the event of technical failure of the equipment or for any other reason for which it cannot be held responsible, or liability in the event services linked to the Event do not meet the expectations of a Participant.

 

 

Data protection

The University of Basel acts as the data controller in relation to Participants’ personal data collected and processed linked to the registration, respectively, during Participants’ attendance at the Event. By registering for the Event, the Participant acknowledges that they might be photographed or filmed during their participation in the Event and that the pictures might be published on the University of Basel  / Event website, social media, and advertising materials. 

 

List of Participants

A list of all Participants will be available to the Participant and will be included in the reporting. This list will include the name and affiliation of each Participant.

 

 

Severability

The unenforceability or invalidity of any provision, or part of any provision, of these Conditions of Participation shall not affect the enforceability or validity of the rest of these Conditions of Participation .

 

 

Changes of the Conditions of Participation

University of Basel reserves the right to change these Conditions of Participation at its discretion. Any material change will be communicated to the Participant via email or by any other means deemed appropriate by University of Basel.

 

 

Applicable law and jurisdiction

These Conditions of Participation shall be exclusively governed by and construed in accordance with Swiss law, to the exclusion of conflict of law rules.

 

Any dispute arising out of or in connection with these Conditions of Participation shall be submitted to the exclusive jurisdiction of the courts of Basel-Stadt, Switzerland.
